To support our growth and increasing RFP activity, we are looking for a New Business Project Lead to join our Creative Studio.
Reporting to the Head of Creative Studio, you will play a central role in winning new opportunities for Samba Digital. You will own the end‑to‑end RFP process for creative and production projects: from analysing briefs and structuring teams to building budgets, coordinating stakeholders and supporting pitches. You will also design and refine internal processes so that our proposals are efficient, scalable and consistently high‑quality.

What you’re excellent at:
- Combining strategic thinking, operational rigour and creative sensitivity in one role
- Building clear, accurate budgets for creative, design and production projects, and tracking profitability
- Understanding creative, design and video production workflows and how to resource them
- Coordinating multi‑disciplinary teams (creative, production, strategy, sales, account management) across time zones
- Communicating with clarity and confidence, both in writing and in meetings with senior stakeholders and clients
- Spotting risks or gaps early and anticipating resource needs, rather than reacting at the last minute
- Structuring processes, templates and documentation so that teams can focus on the work, not the admin
- Working fluently in English (spoken and written)
The role is for you, if:
- You have proven experience in creative project management, production management or new business within an agency or production environment
- You are comfortable owning numbers (rates, margins, budget breakdowns) as much as ideas
- You enjoy leading complex responses to RFPs, pitches or tenders, and you know how to turn a brief into a realistic plan
- You are at ease collaborating with designers, editors, producers and strategists, and understand their constraints
- You thrive in a fully remote, international set‑up and know how to keep people aligned without being in the same room
- You’re confident presenting to clients and explaining the logic behind a proposal, timeline and budget
- You have experience with project management tools (ideally Asana) or are keen to master them quickly
Job Responsibilities ✅
New Business Proposal Budgeting – ~45%
- Own the budgeting process for all creative proposals, whether in response to incoming RFPs or proactive pitches
- Define pricing strategies aligned with market standards and Samba Digital’s positioning
- Build detailed, accurate budgets and ensure projected profitability for each proposal and project
- Monitor assumptions, scope and margins as proposals evolve, flagging any risks or necessary trade‑offs
RFP Management ~35%
- Lead and coordinate the full response to RFPs: clarification of needs, planning, responsibilities, timelines and deliverables
- Bring together internal stakeholders (Creative Leads, Production, Strategy, Account Management, Leadership) to build cohesive and compelling proposals
- Ensure a smooth flow of information throughout the RFP process, with clear documentation and regular check‑ins
- Define the ideal project team for each opportunity, balancing internal expertise and external collaborators, and checking feasibility in terms of skills, budget and timeline
- Support and, when needed, lead client presentations and pitches, clearly articulating strategy, creative direction and budget rationale
Structuring & Process Design ~20%
- Design, implement and refine workflows for RFP responses, proposal development and project setup
- Improve documentation and templates (briefing formats, budgeting frameworks, scope definitions, handover packs)
- Ensure seamless handovers from pitch to delivery teams, so that what is sold is realistic, understood and executable
- Identify opportunities to enhance operational excellence in the Creative Studio and support leadership in scaling processes across markets
